Troubleshooting Printers – Scan to SMB and Network Discovery Issues on Windows Server 2022

Issue: Resolving printing and scanning issues, particularly those related to Server Message Block (SMB) protocol deprecations and Network Discovery configurations on Windows Server 2022 and other versions, can challenge server migrations. Printers with older firmware, like the ImageRunner, don’t have public firmware and may be out of support, so these backup legacy protocols are all that may be possible.

Preliminary Checks: Before addressing specific scenarios, ensure the following:

    • Verify Address Book Entries are correctly formatted.
    • Validate DNS settings, firewall configurations, Share, and File Permissions.
    • Restart the printer after DNS changes.

Scenario #1: SMB Protocol Issue

Issue: The printer fails to connect to the server via SMB on TCP/445.

Resolution: Enable SMBv1 Protocol on Windows Server.

– Execute the PowerShell command: `Enable-WindowsOptionalFeature -Online -FeatureName SMB1Protocol`
– Then, enable SMBv1 on the server: `Set-SmbServerConfiguration -EnableSMB1Protocol $true`

Scenario #2: Network Discovery Issue

Issue: Printer fails NETBIOS discovery via UDP/137 despite Network Discovery enabled but it also turns back off when revisiting.

Resolution:  Enable, Start, and Set to Automatic – Network Discovery Services: DNS Client, Function Discovery Resource Publication, SSDP Discovery, UPnP Device Host then go back and turn on Network Discovery, it will finally stay enabled.

DNS Client: `Set-Service “Dnscache” -StartupType Automatic` and `Start-Service “Dnscache”`
Function Discovery Resource Publication: `Set-Service “FDResPub” -StartupType Automatic` and `Start-Service “FDResPub”`
SSDP Discovery: `Set-Service “SSDPSRV” -StartupType Automatic` and `Start-Service “SSDPSRV”`
UPnP Device Host: `Set-Service “upnphost” -StartupType Automatic` and `Start-Service “upnphost”`

Validation Steps: Test scans from the printer. Monitor network traffic and server logs for errors.

Known Side Effects: Enabling SMBv1 may introduce security vulnerabilities. Upgrade firmware or replace outdated devices for better compatibility.
